Job Description

We are pleased to advertise for the role of Senior Medical Secretary at our busy, friendly GP Practice based in Newton Aycliffe. We are looking for an enthusiastic team player to lead our medical secretary team.

The Practice has approximately 13500 patients and we have 6 GP Partners along with salaried GP's, Advanced Nurse Practitioners, Practice Nurses and Health Care Assistants. We also have a large Administration team of 20 staff.

This role is a Senior Medical Secretary role, this means you will be managing 2 part time secretaries along side your role of medical secretary.

Main duties of the job:-

The following are the core responsibilities of the Senior Medical Secretary. There may be, on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels.

Support the Administration Team Manager by being accountable for all secretarial tasks and responsibilities.

Point of contact. Be the immediate point of contact to the Administration Team Manager for secretarial user groups on SystmOne.

Production of the weekly secretarial task rota

Delegate and prioritise workloads when necessary. This includes the scrutiny of who completes dictations, tasks, referral rejections, medical record requests, secretary email inbox, adhoc duties.

Typing letters, reports and associated documentation as required

Liaising with external agencies such as hospitals and community services, ensuring referrals are processed efficiently

Managing all enquires in an effective manner

Maintaining an accurate referrals database

Actioning all incoming generic emails

Processing letters as requested

Actioning Systmone Secretarial tasks

Inputting data into the patients healthcare records as necessary

Processing referrals using the electronic referral system (ERS)

Processing requests for information i.e., SAR, insurance/solicitors letters and DVLA forms

Answering secretarial related incoming phone calls, transferring calls or dealing with the callers request appropriately.

Job description

To be responsible for Leading the Medical Secretary team and undertaking a wide range of secretarial duties supporting busy GP Practice. Duties can include, but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

Person Specification

  • Qualifications
  • Essential:-
  • A-C in Maths and English at GCSE Level
  • RSA 3 or equivalent including Audio Typing
