ADMINISTRATIVE ASSISTANT
RECEPTION DUTIES:
1. Ensure that all visitors are received courteously and that health and safety protocols regarding visitors are adhered to
2. Manage all incoming telephone calls, enquiries and admin emails and respond, distribute or take messages as necessary
3. Liaise with members of staff, parents/carers, trustees and outside agencies as directed
4. Assist in identification checks for those collecting students
5. Provide absence cover for reception areas at other Trust sites
ADMINISTRATIVE SUPPORT DUTIES:
1. Maintain and update manual and computerised records / management information systems (MIS) for the Corporate Services departments
2. Other administrative tasks to support Corporate Services including gathering, collating and distributing information, filing etc
3. Arrange/facilitate meetings including maintaining diaries and meeting rooms
4. Assist in organising events and hospitality
5. Manage outgoing and incoming post
6. Distribution of letters and other communication e.g. group text service and emails
7. Ensure adequate levels of supplies and stocks e.g. stationary, IT consumables etc
8. Purchasing online supplies e.g. local food deliveries
9. Undertake ad-hoc project work
10. Assist with reporting student absence as required
OTHER DUTIES:
1. Participate in regular staff meetings and training as and when required
2. Willingness to work overtime if required
3. Safeguard and promote the welfare of children/vulnerable adults for whom you have responsibility or come into contact with, to include adhering to all specified procedures
4. Carry out duties with full regard to the Trust’s Child Protection/Vulnerable Adult Safeguarding, Equality & inclusion and other relevant polices in the terms of employment and service delivery to ensure that colleagues are treated and services delivered in a fair
and consistent manner
5. Maintain confidentiality
6. Comply with health and safety policies and systems, report any incidents/accidents/hazards and take pro-active approach to health and safety matters in order to protect both yourself and others
7. Any other duties of a similar nature related to the post, which may be required
8. Comply with all Trust policies, including the no smoking policy
